1. Who we are

On-Tap Plumbing & Heating ("we", "us", "our") is a sole trader operating from 28 High Street, Westoning, MK45 5JG, United Kingdom. We are the data controller for personal data you provide to us. You can contact us at aidan@ontapplumbing.net or on 07815 022377.

2. What data we collect

  • Contact details you give us when requesting a quote or booking a job: name, phone, email, postcode and service address.
  • Job details you provide: a description of the work, photos you choose to send us, and any access notes.
  • Service records we generate: quotes, invoices, gas-safety certificates (CP12s), warranty registrations and service history.
  • Website analytics: basic, aggregated usage data via cookies (see Section 7).

3. How we use it

  • To quote, schedule and complete the work you've asked us to do.
  • To meet our legal obligations (e.g. retaining gas safety records, accounting records).
  • To support manufacturer aftercare (e.g. Worcester Bosch, Vaillant) where applicable.
  • To send annual service reminders or CP12 renewal reminders if you've asked us to.
  • To respond to enquiries and provide aftercare under our 12-month workmanship guarantee.

4. Lawful basis

We rely on the following lawful bases under UK GDPR:

  • Contract — to quote and carry out the work you've requested.
  • Legal obligation — for gas-safety records, HMRC records and similar.
  • Legitimate interest — to administer our business and contact you about ongoing or past jobs.
  • Consent — for optional marketing reminders, which you can withdraw at any time.

5. Who we share it with

We don't sell your data. We share only what's necessary with:

  • Boiler and parts manufacturers (where required for service or aftercare).
  • Gas Safe Register (for statutory notifications).
  • Our accountant (for bookkeeping and tax compliance).
  • Service providers we use to run the business (e.g. invoicing software, email).

6. How long we keep it

We retain customer records and service histories for as long as needed to provide aftercare and to meet legal obligations — typically 6 years for accounting and gas-safety records, in line with HMRC and industry practice.

7. Cookies

Our website uses a small number of cookies to remember your preferences and measure aggregate usage. We do not run third-party advertising trackers. You can disable cookies in your browser settings — the site will still work.

8. Your rights

Under UK GDPR you have the right to:

  • Request a copy of the personal data we hold about you.
  • Ask us to correct or delete that data (subject to legal retention requirements).
  • Object to certain uses of your data.
  • Lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
